Some questions about if a specific project is doable here

So I’m trying to do a personal project as an upgrade from a Google Sheet that has a mediocre script that I had ChatGPT (yuck) help me with. I’m hopeful that softr can do what I want, but I haven’t been able to tell just from the literature, so here I am.

What I need it to do is have a spreadsheet/table with some checklist items and additional info about each item, and have per-user persistent lists that will update when I update the master list. If you’re familiar with Pokemon and the Pokedex, and websites or apps that allow users to keep track of their own stuff, that’s basically it; it’s to keep track of things in a video game, but obviously that means I don’t want a list that people collaborate on where one person checking a box checks it for everyone with the list. The IMPORTRANGE feature in Google Sheets nearly works for me, but doesn’t transfer any formatting at all, so it kind of sucks. This is not a project I’m going to spend anything on, it’s not for a business, etc. I found one search result here that is basically the same question, but it doesn’t address what happens when the list that everyone else accesses is changed.

I’m hopeful this place can do what I need, as I’ve been scouring the internet for a solution again and all I’ve found until now is either paid services or way over my head or both. I have a little coding experience but not scripting, and while a cut-and-paste solution would be ideal I can fumble my way through more complex stuff, or try to, anyway.

This is doable in Softr. Keep the master checklist in one table, give each user their own progress table linked to it, and filter everything by the logged in user. That way you update the master once and everyone’s list updates, but checking a box only touches their own row.

I’d probably recommend the same solution above, using the three-table structure: User + List + User List (junction table).

To keep the user list in sync with the master, you can set up a workflow that automatically creates/updates/deletes the corresponding User List records for each user whenever your master list changes.

Here’s a visual example of a per-user checklist setup I built recently with using this exact setup on Softr.

Hope this helps!
