User count and structure

Hi, I’m new to Softr and coming from another no-code tool. I’m trying to see if it’s a good fit for my app needs. I see activated users count towards plans limits and wonder what structure would be the best.

Use case: Construction CRM with access for employees, subcontractors and customers trough a portal.

My app will have three user groups:

  • Internal company users (employees)
  • External subcontractors
  • Customers

Internal and subcontractors will probably be around 5 to 20 active users on a monthly basis.

There will be thousands of customers but 95% of them won’t need to access the app. Let’s say if a new lead comes in, it will create a new « customer user ». If this lead ever becomes a real customer, I want the customer to be able to log in as a user to see they’re appointments, contracts, warranties, etc. The thing is probably only around 40 customers will only log in per month to see they’re contracts and appointments.

My questions:

How are the activated users counted?

Is there a way to have a user activated only if they logged in in the last 30 days?

Would a user get activated again if he logs back in a few months or years later?

to log in, someone has to be an active user.

you can keep all your users in your datasource but would have to find a way manually, or through an automation, to give your (current) 40 users an active status (to log in) and to then deactivate as necessary and activate others to keep to your target number of approx. 40.
